Reserving booth space at CTC8 is a simple 3 step process:
- Read and accept these rules.
- Choose your booths and enter basic contact information.
- Send payment for your booths.
Reserving your booth requires a JavaScript-enabled browser. The actual
reservation page includes a dynamic JavaScript-driven floorplan map.
Additionally, we recommend Internet Explorer, for the following reasons:
- Internet Explorer will show you the name of the vendor for each
reserved booth when you hover over that booth. Netscape and Opera will
not.
- Internet Explorer will perform some validity checks on the
client-side. Netscape will not.
Please note that any of these browsers will still work. But Internet
Explorer will give you a better reservation experience.

next step.
What a Booth Costs and What You Get
Booth Fees:
$2,500 per booth
$2,300 per booth (for 2 or more
reserved)
The fee for each 10'x10' booth includes:
- 8' Draped backwall and 3' side dividers
- 7" x 44" one line identification sign
- 6 session passes - allows exhibit staff to attend one session per
pass
- 6 exhibit staff badges - includes lunch on both Wednesday &
Thursday
- 4 complimentary one-day exhibit passes for exhibitor guests
- Daily aisle maintenance
- 24-hour security in exhibit hall
- Company listing on on-site conference materials
- Company listing on Web Site, complete with profile that can be
modified by you at any time (available in April)
- Ability to register to hold Showcase Theatre presentations
(available in April)
Showcase Theatres are the ideal forum for demonstrating products
and services to a captive audience. Presentations last 30 minutes and
reach as many as 100 potential buyers. The theatres are strategically
located on the exhibit floor. The fee for each 30-minute session is $850,
and a CTC8 exhibitor can purchase as many sessions as they want. More
information regarding signing up for these special sessions will be
available in early April.
Rules and Regulations
All exhibits and exhibitors are subject to the following regulations.
The words "Management", "National Center", and letters "NCSC" herein refer
to the National Center for State Courts acting through its officers,
employees, or agents in the management of the Exhibition.
IMPORTANT: Before you sign the contract for exhibit space,
please read these rules and regulations thoroughly. Your participation in
this Exhibition will be governed by these items.
1. CONTRACT OF SPACE - Applications for exhibit space must be
completed through the web site. If payment is submitted by check, payment
must be received within ten (10) business days after contract for exhibit
space is submitted. If payment is not received within ten (10) days, booth
space will be released for resale. Participation in the Exhibition is open
to any interested company. However, the National Center reserves the right
to decline applications for exhibit space regardless of past
participation. Subletting is strictly prohibited. Only companies or
individuals who have contracted directly with NCSC shall be listed in the
show directory or allowed on the show floor as an exhibitor.
2. ASSIGNMENT OF BOOTHS - Indicated preference for booth
location will be honored to the extent possible; however, the NCSC
reserves the right to assign space, without prejudice, in a method that is
consistent with the overall goals of the Exhibition. All measurements
shown on the floor plan are as accurate as possible, however, the exhibit
management reserves the right to make modifications to accommodate the
needs of the exhibitors or the Conference.
3. INSTALLATION/DISMANTLING - Exhibits may be installed in
Bartle Hall E, F of the Kansas City Convention Center between 8:00 a.m.
and 4:30 p.m. on Tuesday, October 28, 2003. CTC8 Exhibition officially
closes on Thursday, October 30, 2003, at 3:00 p.m. Exhibitors may not
dismantle or disturb their exhibits until after the official closing.
Failure to observe this rule may jeopardize the exhibitor's space
assignments or right to exhibit at forthcoming CTC Exhibitions. All
exhibits and accompanying supplies must be dismantled and removed from the
exhibit hall by 11:00 p.m. on Thursday, October 28, 2003. These specified
times for installation and dismantling of exhibits are subject to change
at the discretion of NCSC.
4. USE OF EXHIBIT - All exhibits must be set up on time, and
open and staffed during specified Exhibition hours. Exhibitors should keep
all designated entry aisles free of crates and supplies during move-in and
tear-down. No display material exposing an unfinished surface to
neighboring booths or an aisle will be permitted. No portion of any
exhibit space, sign, or carpeting may extend over or beyond assigned floor
space. Exhibitor must provide carpet or other suitable floor covering for
its entire exhibit space during all exhibit hours. No crating or packing
of goods may be made between 4:30 p.m. on Tuesday, October 28, 2003, and
3:00 p.m. on Thursday, October 30, 2003. The National Center reserves the
right to determine the physical layout of the booth. All exhibits must be
arranged so as not to obstruct the general view or hide the exhibits of
others.
All demonstrations or other promotional activities, including
distribution of promotional materials, shall be confined to the limits of
the exhibit space and the Showcase Theatres. The exhibitor is responsible
for keeping the aisles near its exhibit space free of congestion caused by
demonstrations or other promotions. Show Management reserves the right to
restrict exhibits that, because of noise, method of operation, or any
other reason, become objectionable, and also to restrict, remove, or
relocate without refund any exhibit or person that in the opinion of
Management may detract from the general character of the Exhibition. In
the event of any such restriction or removal, the exhibitor shall have no
claim against NCSC based upon any such restriction or removal.
5. EXHIBITOR APPOINTED CONTRACTORS (EAC) - Any exhibitor using
an EAC agrees to notify NCSC of such appointment and agrees to indemnify
and hold harmless NCSC, Kansas City Convention Center, and their
respective officers, directors, staffs, employees and agents, and all
official contractors from any and all liability or losses for any act,
complaint, damage, or loss to any other exhibitor, the exhibit hall, the
property of any contractor or any consequential damages arising out of any
such act or loss from the time the independent EAC first arrives at the
hall until the final move-out is complete. The exhibitor further agrees
that NCSC may prohibit the EAC from working in the hall if they do not
fully comply with all rules and regulations set forth for them at this
event. Any Exhibitor using an EAC agrees to advise its EAC of all rules
and regulations.
6. SERVICE CONTRACTOR - Each exhibitor will be provided with a
service manual from NCSC's official show contractor, Freeman Decorating
Company, with advance order forms, instructions, and worksheets for
services and equipment such as furniture rental, skilled labor, carpeting,
audio visual equipment, electrical services, signs, shipping information,
etc. The services provided by the official show contractor, other
contractors, and/or the Kansas City Convention Center are based solely on
their terms and charges are payable to them. The Kansas City Convention
Center maintains exclusive contracts with service contractors for all
utilities, power, and telecommunications, including labor, materials, and
equipment required. It is the responsibility of each exhibitor to break
down all of their materials to manageable sizes for removal. If the Kansas
City Convention Center, the janitorial contractor, or Freeman Decorating
Company is forced to remove any materials or debris too large or too heavy
for removal by normal means, the exhibitor will be billed for such
removal.
7. ERRORS AND OMISSIONS - NCSC assumes no responsibility or
liability for any of the services performed or materials delivered by
official show contractors or other suppliers to the Conference, their
personnel, or their agents.
8. ISSUANCE OF BADGES - A badge form and instructions will be
sent to each exhibitor at least 4 weeks before the show start date. For
security purposes, no one will be admitted to the Exhibition without a
badge. Exhibition badges are to be used solely for Exhibition staff. These
badges are for exhibit hall identification only and do not entitle the
badge holder to attend any of the Conference features or participate in
social events. Persons under the age of 21 are not permitted to attend the
conference.
9. NON-ENDORSEMENT - The exhibiting of products at the CTC8
Exhibition does not constitute an endorsement by the National Center for
State Courts. Exhibitors are not permitted to represent that their goods
or services have been endorsed by the National Center.
10. CARE OF BUILDING/REGULATIONS - Exhibitors shall not place or
install decorations in or on the Kansas City Convention Center, walls or
corridors, nor shall any advertising signs be supported by nails, tacks,
screws or adhesive tape on the walls or woodwork. Exhibitors will be held
responsible for any damage done to the building, equipment, or decorations
by them or their employees. The exhibitor assumes full responsibility for
complying with union regulations; federal, state, and municipal laws; and
regulations concerning fire, safety, electrical wiring, and health.
11. SECURITY - Security will be provided to guard exhibits at
night, beginning Tuesday, October 28, 2003, and continuing each night
through the completion of exhibit tear-down. However, the exhibitor is
solely responsible for the security of its own exhibit materials.
Uniformed personnel will be stationed at the entrance to the exhibit hall
during exhibit hours. All personnel in the exhibit booths are required to
display proper name badges throughout the Conference. Security guards will
be checking for badge identification on all exhibit representatives.
12. FAILURE TO OPEN EXHIBITION - In the event of fire, strikes,
riots, civil unrest, acts of God, war, terrorism, or other unavoidable
circumstances rendering it impossible or impractical for any reason for
the Management to perform such contract, the NCSC's performance under such
contract shall be excused. In the event of such termination, the exhibitor
waives any and all damages and claims for damages and agrees that the sole
liability of NCSC shall be to return to each exhibitor his space payments
less his pro rata share of all costs and expenses incurred and committed
by NCSC. NCSC shall not be financially liable in the event the show is
interrupted, cancelled, moved, or dates changed except as provided
herein.
13. CANCELLATION POLICY - There will be no refunds for
cancellations of exhibit space. Canceled space will be resold by NCSC.
14. COPYRIGHT PERMISSION AND INDEMNIFICATION - Exhibitor
represents and warrants that no musical or other artistic work protected
by copyright will be staged, produced, or otherwise performed, via either
"live" or "mechanical" means, by or on behalf of exhibitor unless
exhibitor has previously obtained written permission from the copyright
owner or obtained a license from the copyright owner's designee (e.g.,
ASCAP, BMI, or SESAC) for such use.
15. LIABILITY/INDEMNIFICATION/INSURANCE - (a) This agreement
shall not constitute or be considered a partnership, joint venture, or
agency relationship between NCSC, Kansas City Convention Center, and
exhibitor. Exhibitor hereby agrees to indemnify, hold harmless, and defend
the NCSC and Kansas City Convention Center, and their respective officers,
directors, and employees (indemnitees) from and against any and all
liability, responsibility, loss, damage, cost, or expense of any kind
whatsoever as they arise (including but not limited to court costs,
interest, and attorneys' fees through appeal) which the indemnitees may
incur, suffer, be part to, or be required to pay, incident to or arising
directly or indirectly from exhibitor's participation in the CTC8
Exhibition, including any intentional or negligent act or omission or
breach of these terms, conditions, and rules, or violation of any
ordinance or statute by exhibitor or any of its employees, servants, or
agents.
(b) Exhibitor assumes full responsibility and liability for the actions
of its agents, employees, and independent contractors, whether acting
within or without the scope of their authority, and agrees to indemnify,
hold harmless, and defend the indemnitees as expenses arise, from
responsibility or liability resulting directly or indirectly, or jointly,
from other causes which arise because of the acts or omission of its
agents, employees, relatives, or independent contractors whether acting
within or without the scope of their authority.
(c) Exhibitor agrees to obtain Workers' Compensation insurance as
required by law and Commercial General Liability insurance to be in effect
during the dates of the CTC8 Exhibition, including move-in and move-out
days, and shall furnish a certificate of insurance to NCSC if requested.
Failure of NCSC to request certificate of insurance shall not relieve
exhibitor from its obligation to comply with this provision. Said limits
of General Liability insurance shall be bodily injury and property damage
combined, $500,000 per occurrence, $1,000,000 aggregate, and $50,000 fire
legal liability. Exhibitor's insurance shall list the NCSC and the Kansas
City Convention Center as additional co-insureds during the dates of the
event. NCSC and the exhibitor agree to waive the right of subrogation by
their insurance carriers to recover loss sustained under the respective
insurance contracts for real and personal property.
16. ADA COMPLIANCE - Exhibitor represents and warrants: (1) that
the exhibit will be accessible to the full extent required by law; (2)
that its exhibit will comply with the Americans with Disabilities Act
(ADA) and with any regulations implemented by the Act; and (3) that it
shall indemnify and hold harmless and defend NCSC from and against any and
all claims and expenses including reasonable attorneys fees and litigation
expenses that may be incurred by or asserted against NCSC on the basis of
the exhibitor's breach of this paragraph or non-compliance with any of the
provisions of the ADA. All booth personnel needing special assistance
should contact the NCSC with their requests.
17. WAIVER - Waiver by either party of any term or condition or
breach shall not constitute a waiver of any other term or condition or
breach of this agreement. The rights of NCSC shall not be deemed waived
except as specifically stated in writing and signed by an authorized
representative of NCSC.
18. SEVERABILITY - In the event any provision of this agreement
is held invalid or unenforceable then neither the remaining provisions of
this agreement nor other applications of the provisions involved shall be
affected thereby.
19. AGREEMENT SUBJECT TO TERMS OF NCSC LEASE - This agreement
between the exhibitor and the NCSC is subject to terms of the lease
between the NCSC and the Kansas City Convention Center and to the terms of
any and all agreements between NCSC and any other party relating to the
Conference. Exhibitors shall not undertake any act, or fail to fulfill any
obligation, which shall be in violation of said lease or agreements.
